The repair or replace question is usually presented as an arithmetic problem, and it is usually settled before any arithmetic happens. Prices change constantly, labor rates differ by region, and part availability varies by model and by year, so nobody can hand you a threshold that will still be true when you need it. What can be laid out is the structure of the decision: which failures are worth fixing, which ones are not, and what to establish before you ask anyone for a quote.
The useful framing is not what the repair costs. It is what you own afterward.
First question: is the failed part a wear item or a core assembly
Every appliance has parts designed to be replaced and parts that effectively define the machine. A door seal, a drain pump, a belt, a thermal fuse, a gasket, a filter housing, a coupling: these are wear items. They are meant to be changed, they are usually available, and replacing one restores the appliance to roughly its previous condition. A failure here is a maintenance event, not a verdict.
Core assemblies are different. A sealed refrigeration circuit, a washer drum and bearing assembly, a display panel, a main control board on a machine no longer supported: these are large fractions of the whole appliance. Replacing one is closer to buying a rebuilt machine than to fixing a broken one.
The order in which these fail is fairly predictable, and it is worth knowing before the failure rather than after, which is the subject of our piece on what wears out first by appliance type. A machine that has failed at a wear item after several years is behaving normally. A machine that has failed at a core assembly early is telling you something different.
Second question: how hard is the appliance to get at
Access drives labor, and labor is where repair economics are usually decided. A freestanding appliance can be pulled out, worked on and pushed back. A built in one cannot.
Compare the situations. The Amana NTW4519JW top load washer is a freestanding machine with a mechanically simple architecture, and most of its common failures are reachable. A built in dishwasher such as the Bosch 300 Series has to be disconnected from plumbing and electrics and drawn out of a cabinet run before anything can be done, which adds time to every job regardless of which part failed. A built in wall oven like the LG WCEP6423F combination double wall oven is harder again, because it is a heavy unit in a cabinet aperture and removing it is a two person operation before the diagnosis even starts.
Weight matters for the same reason. The GE GNE27JYMFS French door refrigerator is listed at 308 pounds, which shapes both the repair and the replacement: moving it is a job either way, and a service call that avoids moving it is worth more than the same call on a countertop machine. Note in passing that its listing records an installation type of countertop, which is plainly wrong for a 308 pound French door unit and is an example of why installation fields on imported listings should not be trusted for planning.
Combination machines concentrate the risk
An appliance that performs two functions has one set of electronics and one chassis serving both. The Samsung WD53DBA900HZ washer dryer combination is a single unit that both washes and dries. That is a genuine advantage where space is the binding constraint, and it is a genuine disadvantage when something fails, because a fault in the shared control or the shared drum takes out both functions at once. A separate washer and dryer pair, such as the Amana top loader above and the Amana NED4655EW dryer, degrades one function at a time and lets you replace one machine without replacing the other. Neither arrangement is better in general. They fail differently, and that difference belongs in the buying decision rather than being discovered later.
Third question: what is the appliance worth to you as a working machine
This is where the arithmetic finally comes in, and it is arithmetic you have to do with current numbers rather than remembered ones. Get a diagnosis and a quote. Look up what an equivalent current model is selling for today. Then weigh three things the price comparison does not capture.
The first is what you get afterward. A repair that replaces a worn part with a new one leaves you with a machine that has a new part in it and old everything else. If the rest of the appliance is close to the end of its expected life, that is a short reprieve. If the rest is in good condition, it can be many more years.
The second is what a replacement would change beyond working again. A newer washer or dishwasher may use less water and electricity per cycle, which is a running cost difference you can estimate from the annual consumption figure using the method in our piece on reading a wattage rating honestly. For a machine with no such figure published, that comparison cannot honestly be made and should not be assumed.
The third is disruption. Replacing a built in appliance can mean cabinetry work if dimensions have shifted between generations. Replacing a freestanding one usually does not.
Where repair is clearly the better call, and where it clearly is not
Repair is usually the right answer when the failure is a known wear item, the part is available, the appliance is otherwise in good condition, and the machine is expensive or disruptive to replace. Large refrigeration and built in units fall into this category often. So do machines where the failure is mechanical and reachable.
Repair is also worth considering on appliances with meaningful sub assemblies rather than sealed ones. An espresso machine such as the Breville Barista Touch combines a grinder, a pump and a heating system, and grinder burrs and seals are serviceable items on many machines of this type. A stand mixer like the KitchenAid Artisan Mini is built around a gear train that is designed to be opened. Both are more repairable than their price suggests.
Replacement is usually the right answer when the failed part is a core assembly on an aging machine, when the part is discontinued, when a repair would be the second or third on the same appliance in a short period, or when the failure involves safety. Anything involving mains wiring, a gas connection, a refrigerant circuit or a damaged enclosure is work for a qualified person, and on an older appliance the qualified person’s time is often better spent installing a new one.
Televisions deserve a specific note because they follow a different pattern. A power supply board failure is often economically repairable. A failed backlight or a cracked panel usually is not, because the panel is most of the set. On an older model such as the Sony XBR65X900F, establishing which of those two things has failed is the whole decision, and it is worth paying for a diagnosis before assuming either.
Whichever way it goes, do the diagnosis first. A quote for a specific part is information. A general sense that a machine is old is not.
